This page explains how REMAX Hallmark® protects the personal information of clients and prospective clients, and what to do if something on our site is wrong, out of date, or should not be published at all.

Our commitment

Accurate information, and privacy you can count on.

People come to this site while making one of the biggest decisions of their lives. That only works if the information is right and your privacy is respected. We hold ourselves to Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario and Florida law, and we act quickly when something needs to be fixed or taken down. If a listing is wrong

A price, a photo, a room size, an open-house time.

Most listing data on this site comes from third-party MLS® boards and can be delayed or contain errors. If you spot something inaccurate, tell us and we will check it against the source of record.

We verify at the source

We compare the listing against the MLS® board record and the listing brokerage's information to confirm the correct details.

We correct and push the update

Where the error is ours, we fix it right away. Where it originates with the board or listing brokerage, we raise the correction with them and update our display as soon as the corrected data flows through, normally within two business days.

Third-party portals and search engines that copied a listing may take longer to catch up, often up to 72 hours, because of their own caching. We will tell you when our own display has been corrected.

If a property shouldn't be advertised

Sold, leased, withdrawn, or private.

A listing should come down, or never appear, when the deal has closed, the property is leased, the listing has expired or been terminated, the agreement was exclusive or off-MLS, or the owner has asked to limit how their home is shown online.

Send the address or MLS® number to privacy@remaxhallmark.com, tell us you want it removed, and note your connection to the property (owner, occupant, listing agent, or other). If you are the owner or seller and you want your home excluded from internet display, we will honour that under the MLS® board and CREA display rules that apply.

We remove or update the listing on our site within one business day of confirming the request. If the listing was syndicated elsewhere from the board feed, we also flag it for removal with those partners, though their own timelines apply.

Sold and unavailable listing data is only ever shown to signed-in client-portal members under our Virtual Office Website rules. It is never exposed to anonymous visitors.

Your personal information

What we hold, and your say over it.

For prospective clients, that is usually the contact details and message you send through a form, plus your saved searches and saved listings if you create a portal account. For clients in a transaction, your REMAX Hallmark® REALTOR® also holds the records the deal requires.

We do not sell your personal information. You can ask to see what we hold, correct it, delete what we no longer need to keep, or withdraw your consent. Email privacy@remaxhallmark.com. We verify your identity and respond within 30 days. The Privacy Policy has the complete picture.

Every request goes to privacy@remaxhallmark.com. The inbox is monitored continuously and assisted by an automated system, with a person reviewing every request.

Instant acknowledgement

An automated reply confirms we have your message and gives you a reference number, usually within a few minutes, day or night.

Automated triage and routing

An assistant classifies the request, a listing correction, a takedown, a privacy or access request, and routes it to the right team with the context attached.

Human review and response

A member of our team reviews and actions every request. Listing corrections and takedowns are handled within one to two business days; privacy and access requests within 30 days, as PIPEDA requires.
